Physical Planning

  1. Well before you move, consider these steps to be prepared:
  2. - Produce a floor plan of your current space.
  3. - Obtain a blueprint of your new office space.
  4. - Create a proposed, scale furniture orientation drawing.
  5. - Identify and label the telephone/server room.
  6. - Place PC and printers into your drawing.
  7. - Place PC and printers into your drawing.
  8. - Look at potential future use when you are designing space and wiring.
  9. - Identify voice and data jack locations on your drawing.
  10. - Assign each work station and area a unique identification number.
  11. - Get feedback and approval for the new design.
  12. - Identify any access challenges or limitations (including times) for moving.

Team(s)

  1. If you have a small office, you need help. While it's as easy for everyone in the organization's office to pack and label their work area, it goes from data backup processing to dealing with merchants. Many hands make work easy. Some suggested teams are:

Communication Team

  1. This group will be responsible for ensuring that telephone lines, fax lines, and the Internet are disconnected and installed in a new location. They are responsible for testing to make sure you are ready to go. This group should start earlier. T1 lines, for example, can take up to two months to become active. All agreements must be confirmed one month and one week before moving, respectively.

Computer/Server Team

  1. This team may be responsible for ensuring that your servers, computers, and printers are ready to move. It should be ensured that all data is copied and transported separately to the new location. They should work with suppliers or consultants to ensure that the cabling is where it is needed and tested. Printers and telephone systems must be configured for the new space and tested.

Management Team

  1. The management team should appoint a site supervisor who is well aware of how things are coordinated. When things are happening and who is responsible for the actions. There also needs to be someone who deals with the mover on move day to ensure that everything goes where it should be. This team must also contact and resolve employee issues and interact with all suppliers.

Labelling

  1. The best thing you can do to keep your days on the road running smoothly and minimizing disruption is to pay attention to labelling. Each zone and workstation must have a unique number that matches the area and number on the new site plan.
  2. - All workstation items including bins and cartons must be labeled with a unique number
  3. - All common area items must be labeled and number identified
  4. - All computer, network and telephone lines must be labeled and numbered
  5. - Pictures, white boards, plants, filing cabinets… must be labeled
  6. - For large moves, colour coding can be used to further help indentify movements
  7. - Computer, printers, fax machines and other equipment must be labeled
  8. - Anything not moving should be clearly identified or segregated in a closet or separate room

Cleaning

  • Relocation may be the only chance you need to completely clear all surfaces of your business. Please use this opportunity. Packing day is a good time for this. This is also the perfect time to take a closer look at the furniture and equipment you are using.
    1. - Clean electronic items.
    2. - Clean all furniture.
    3. - Clean all wall hangings and boards.
    4. - Clean all kitchen items.
    5. - Inventory existing equipment.
    6. - Determine what needs to sold, donated or disposed of.
    7. - Determine what needs to be replaced.
    8. - Complete arrangements for replacement and disposal before moving day

    Some other considerations

    1. As you progress with your moving plans you will find that many hurdles will arise requiring your attention.
    2. Create a contact list that includes personnel and vendors and their responsibilities
    3. Have spare cables, keyboards, mice and other small items on hand
    4. Have a list of phone numbers (including 800 lines) and email addresses to test on moving day
    5. Make sure Cassidy' has a copy of the new site plan

    Storage

    1. Many companies need the services of storage companies. Why are rarely used items occupied by expensive office space? It's cheaper to buy consumables in bulk, but where do you put them? Good used office furniture has little resale value, but costs money to replace. Why not consider storage?
